How to Record and Transcribe Meetings with AI: From Setup to Searchable Archive
In September 2024 I lost a client because of a meeting. Not a bad meeting — the meeting went fine. What happened was this: during the call, the client's CTO mentioned that their security review process required SOC 2 documentation "before we can move to procurement." Our account manager nodded, said "absolutely, we'll get that over to you," and moved on to the next agenda item. The call ended. The account manager had three more calls that afternoon. By the time he checked his notes the next morning, he'd written "send SOC 2 stuff" on a sticky note but couldn't remember the specific documents the CTO referenced or the deadline he'd mentioned.
Two weeks later the client's procurement team emailed asking for the documentation package. We sent the wrong subset. They came back with corrections. Another week passed. The CTO emailed our account manager directly: "This is the third week since our call and we still don't have the right docs. We're going to evaluate other vendors." We eventually lost the deal. $74K in annual revenue, gone because a verbal commitment in a meeting wasn't captured with enough specificity to act on.
That was the week I set up meeting recording and transcription for our entire team. Not as a nice-to-have. As infrastructure.
The First 30 Minutes: Getting a Bot Into Your Meetings
The setup process for AI meeting transcription is deceptively simple, which is why most people underestimate what happens after setup. I'll walk through what it actually looks like using Fireflies, since that's what we use, but the general mechanics are similar across tools.
You connect your Google or Outlook calendar. The tool reads your upcoming meetings and, based on your settings, automatically joins each one. On Zoom, a participant named "Fireflies.ai Notetaker" shows up in the attendees list about 30 seconds after the meeting starts. On Google Meet, it's the same — a bot joins as a participant. Microsoft Teams works too, though the bot joining experience varies slightly depending on your org's Teams admin settings.
The first time the bot joins, expect questions. "Who is this?" and "Are we being recorded?" are the two most common. We solved this by adding a line to all meeting invites: "This meeting will be recorded and transcribed by Fireflies.ai for note-taking purposes." After about two weeks, people stopped noticing the bot entirely. It became invisible infrastructure, like the meeting room microphone.
The sales call analyzer was the first automation we layered on top of the raw transcription. Within 15 minutes of every sales call ending, an analysis — objection patterns, key decisions, action items — appeared in Slack. That immediacy matters. Transcription alone is necessary but not sufficient. The value is in what you do with the transcript before anyone has time to forget what happened.
What the Transcription Actually Captures
I tested accuracy obsessively in the first month. I'd sit in meetings, manually note specific phrases, and then check the transcript afterward. Here's what I found across about 80 meetings.
Single-speaker clarity was excellent — 94-96% accuracy when one person spoke at a time in a quiet environment. This covers most of a typical meeting: presentations, updates, Q&A with clear turn-taking.
Multi-speaker overlap was the biggest accuracy drop. When two people talked simultaneously (which happens more than you think — about 8-12% of meeting duration in our data), accuracy fell to roughly 70-75%. The tool usually captured one speaker's words and garbled the other's. Not fixable by any current transcription technology.
Technical terminology was hit-or-miss. Common business terms were fine. Our product-specific acronyms and internal terminology were often wrong on first pass. Fireflies has a custom vocabulary feature that improved this significantly — after adding about 40 terms specific to our business, technical accuracy jumped from around 80% to 91%.
Speaker identification was about 88% accurate in meetings where all participants had Fireflies accounts (their voice profiles help). In meetings with external participants joining for the first time, speaker labeling was closer to 75% accurate, with occasional "Unknown Speaker" labels.
None of these numbers are perfect. They don't need to be. The transcript is a reference document, not a legal record. If I can search "SOC 2" and find the exact meeting where it was discussed, see what was said before and after, and identify who said it with reasonable confidence — that's a transformation from where we were, which was sticky notes and memory.
Building the Searchable Archive
After three months of recording, we had approximately 900 meeting transcripts. Raw transcripts are overwhelming. Nobody is going to read through 900 documents. The archive is only valuable if it's searchable and summarized.
Fireflies' built-in search works across all transcripts. I can search for a client name, a product feature, a competitor, or a phrase, and get results with timestamp links to the exact moment in the recording. This replaced about 30 minutes per week of "Does anyone remember which meeting we discussed X in?" conversations.
But search only works when you know what you're looking for. For proactive surfacing — understanding patterns across meetings, catching things you didn't know to search for — we needed agents.
The meeting action tracker scans every transcript for commitments. "I'll send that by Friday." "Let me check with engineering and get back to you." "We need to schedule a follow-up before the end of the month." These verbal commitments get extracted, assigned to the person who made them, and tracked. Before this, about 40% of meeting commitments were forgotten within 48 hours. After implementing the tracker, that number dropped to around 12%.
The pattern is straightforward: record everything, transcribe automatically, extract structured data from unstructured conversation, and surface it where people already work (Slack, email, CRM). Each layer builds on the one below it.
The Privacy Conversation You Need to Have
Recording meetings is a cultural change, not just a technical one. Some people are uncomfortable being recorded. Some meetings shouldn't be recorded — performance reviews, sensitive HR conversations, certain legal discussions. You need a policy before you need a tool.
Our policy is simple. All external meetings (client calls, vendor calls, sales calls) are recorded by default. Internal meetings are recorded by default with two exceptions: 1-on-1s between a manager and direct report are recorded only if both agree, and any participant can request recording be stopped at any time. No questions asked.
We had one engineer who was initially uncomfortable with all-hands recordings. After a month, he became one of the biggest advocates. His reason: "I used to spend 45 minutes after every all-hands writing up notes for my team. Now I just share the transcript link." The productivity argument won him over where the theoretical argument didn't.
Fireflies has granular privacy controls — you can set meetings to private (only visible to the recorder), shared with specific channels, or team-wide. We use channels organized by function: Sales, Engineering, Leadership, All Hands. Each channel has its own access controls.
What Three Months of Data Looks Like
After 90 days of systematic recording, we had a dataset I never expected to be so useful. Here's what we could see that was invisible before.
Meeting load distribution. Our VP of Product was in 31 hours of meetings per week. We knew he was "in a lot of meetings" but didn't know it was 78% of his working hours. That number triggered a meeting audit that freed up 9 hours per week for him.
Decision velocity. The average time between "we should do X" being said in a meeting and a decision being made was 11 days across 3.2 meetings. For decisions that involved cross-functional stakeholders, it was 18 days across 5.1 meetings. Knowing this changed how we structured decision-making.
Topic recurrence. The phrase "we've discussed this before" appeared in 23% of our internal meetings. Twenty-three percent. We were literally re-having conversations because nobody had a reliable record of what was decided previously.

Meeting transcription isn't a feature. It's a data pipeline. The recording is the input. The searchable, analyzable, actionable archive is the output. Everything in between — accuracy tuning, privacy controls, agent analysis — is plumbing. Important plumbing, but plumbing nonetheless. Get the plumbing right and the data starts working for you instead of evaporating into the air 30 seconds after someone says it.
