I got stuck being the meeting notes guy at my last company. Not because anyone asked. Because every standup would end and I'd look around and realize nobody wrote down what we'd just agreed on. So I'd open a doc and spend 20 minutes reconstructing everything from memory while it was still fresh. Mostly fresh. Sometimes I was guessing.

My coworker Priya once pointed out that I'd attributed an action item to her in a set of notes from the previous Tuesday. She'd been on PTO that day. I went back and checked — she was right. She wasn't even in the meeting. I'd confused her with Anika because they were both working on the dashboard project. That's when I realized my handwritten notes weren't just slow. They were unreliable.

Six to eight meetings a day, 20 minutes each of cleanup — that's two-plus hours of my afternoon gone. And half the time people didn't even open the doc.

The Invisible Tax Nobody Calculates

Here's what my manager Diana never factored into sprint capacity: note-taking isn't just the typing. It's the cognitive drain during the meeting itself. You're trying to participate in a design review while simultaneously writing shorthand summaries of what everyone's saying. The result is you contribute less and capture less. Two competing jobs done badly at the same time.

I tracked it for exactly two weeks in October 2024. Across our 12-person team, we had 47 meetings that week. Thirty-one of them had someone designated (or guilt-tripped) into note duty. No notes, because Marcus assumed someone else was writing. Two months later we had to have the exact same conversation again.

What Happened When We Turned On Automation

In a Thursday product sync, the AI captured a commitment from our designer Kenji to have mockups ready by Monday. I'd been in that meeting. I didn't write that down. It seemed like a throwaway comment at the time. By Tuesday, when Kenji hadn't delivered, the automated summary was the only record that he'd said it.

The time savings hit immediately. That nine-hour weekly burden dropped to roughly 45 minutes of review. People would glance at their meeting summaries in Slack, flag the rare error, and move on.

But here's what surprised me more than the time savings: people started reading the notes. The usage rate went from 22% to something closer to 70%. Turns out, when notes are structured consistently and arrive within minutes of the meeting ending, people treat them as a real resource instead of a chore someone did.

Why the Robot Outperforms the Human

I expected AI notes to be a compromise — acceptable quality in exchange for zero effort. They ended up being better than what most of us wrote. Three reasons, none of which I anticipated.

The AI doesn't have attention bias. When I took notes, I wrote down what I thought mattered in the moment. Reasonable, except "what matters" is a judgment call I made at 2 PM on a Wednesday when I was already thinking about my 3 PM call. In one meeting, our sales lead Tomás mentioned that a customer had pushed their renewal conversation out by six weeks. I didn't write it down because the meeting was about something else. Three weeks later, when we were forecasting renewals, that was exactly the data point we needed. The AI captured it. I wouldn't have.

The format never drifts. My notes were bullet points. Diana wrote paragraphs. Marcus used a numbered list with sub-bullets that went three levels deep. When you're searching through three months of meeting notes trying to find when we decided to sunset the legacy API, inconsistent formats are a nightmare. Every AI summary follows the same structure. You know exactly where to look for decisions, where to find action items, where to check for open questions.

They're immediate. I used to "clean up notes after the meeting." Sometimes that happened 30 minutes later. Sometimes it was the next morning. By then I'd already lost the nuances. Was the Q2 timeline "end of May" or "mid-June"? Did Anika say she'd review the spec or that she'd rewrite it? The AI summary appears within five minutes of the meeting ending, while everything is still true.

The Setup (It Took Two Tries to Get Right)

First iteration: Fireflies joined every meeting and dumped transcripts in a shared drive. That was marginally useful but still required someone to read through the transcript to find the important parts. So it was faster than manual notes but still created work.

Second iteration: we added the meeting summary digest agent and piped the output to a dedicated Slack channel. Each summary is threaded, so people reply with corrections inline. In practice, corrections happen maybe twice a week. The accuracy is good enough that corrections are the exception.

For meetings that generate action items, we also connected a meeting action tracker. Before this, about 60% of commitments made in meetings actually got done. The rest evaporated. After we started tracking automatically, completion jumped to 87%. Turns out, people follow through when they know the system will flag them by name on Monday morning.

Kenji told me he started double-checking his calendar every Friday afternoon specifically because of the tracker. "I don't want to be the one who shows up red on Monday," he said. Accountability through mild social pressure, automated.

Which Meetings Benefit Most

Not all meetings get equal value from this. Our experience after running it for a full quarter:

Recurring standups and syncs are the biggest win. The individual notes from any single standup are rarely earth-shattering. But the archive is gold. When our VP asked "when did the checkout latency issue first come up?" I searched the standup summaries and found the exact date — October 14th, Marcus mentioned it at 9:07 AM. Without the archive, nobody would have remembered. We'd have guessed "sometime in October, maybe?"

Client meetings are high-stakes enough that the precision matters. We used a meeting summary to resolve a billing dispute with a client who claimed we'd agreed to net-60 terms. We hadn't — the transcript from March 12th clearly showed we'd discussed net-30 and they'd agreed. That one search probably saved us $30K in delayed payments.

Long planning sessions produce the most content. A 90-minute quarterly planning meeting might generate four pages of human notes. The AI condenses it into a one-page structured summary with clear decision points. Diana, who runs our planning meetings, told me she stopped dreading them once she didn't have to spend 45 minutes afterward writing the recap.

Quick ad hoc calls are where notes used to vanish entirely. Nobody takes formal minutes in a 10-minute Slack huddle. But commitments still get made. Having even a brief automated record of these calls has saved us at least a dozen "wait, didn't we agree on that last week?" conversations.

Three Months In: The Numbers

Time recovered: 8.5 hours per week across the team. That's 442 hours per year, which at our blended rate of $75/hour works out to about $33K in productivity. Real money for a 12-person team.

Coverage went from roughly two-thirds of meetings having notes to 100%. Every meeting Fireflies joins gets documented. There's no more "oh, who was taking notes for that one?" because the answer is always "the robot."

Action item completion: 60% to 87%. This one delivers more business value than the time savings. One completed action item can be worth more than the entire annual cost of the tooling.

We also started feeding the structured summaries into meeting recap slides when we need to present updates to leadership. The consistent format makes it trivial to pull key points into a deck. Diana used to spend an hour building the Monday leadership slides. Now she spends 15 minutes reviewing auto-generated ones.

The Parts That Still Aren't Perfect

Two honest caveats. First, about 15% of our meetings are excluded from recording — HR conversations, performance reviews, sensitive exec discussions. We have a clear policy and people respect it. Second, action item attribution is wrong maybe 5% of the time. If two people are going back and forth about a task and one says "yeah, I think we should get that done by Thursday," the AI sometimes picks the wrong speaker. The review step catches it, but it's not fully hands-off.

Those downsides are real. They're also small compared to nine hours a week of manual note-taking that produced unreliable output nobody read.
